The Immigration Office has warned the UTokyo's School of Engineering that if you come to Japan prematurely and try to change your visa status after arriving here in Japan, the Immigration Office might send you back to your home country to apply for your visa.
Therefore, please do not plan your trip until you actually have your Student Visa in your passport in your own country.
In addition, you should take into account the following probable consequences of an early arrival.
Until then, you should protect yourself against any unexpected accidents by making sure you have suitable insurance cover.
Each housing/dormitory management office will advise you of your move-in schedule, which may or may not correspond with your arrival date.
Please always be mindful of whether cancellation charges apply when you make a reservation.

How to Write Your Name
Name Order
Your name will be registered for both the university and your scholarship sponsor as indicated on legal documents such as your valid passport, which means that the spelling should be the same as these documents. Abbreviations and nicknames are not permitted.
At the University of Tokyo (UTokyo), your name will officially appear on all documents in the order of: LAST/FAMILY NAME, First name, Middle name.
However, after your enrolment at the UTokyo, there are a few exceptional documents on which your name can appear in whichever order you prefer, such as (First name), (Middle name), (Last/Family name), or (Last/Family name), (Middle name), (First name) upon request. For further information, please consult the relevant office AFTER you enrol at the UTokyo.

Tutor Assignment
A tutor is a student belonging to the same research laboratory as you. His or her basic task is to assist you with your study and research matters, university procedures, and other formalities so that you will soon become independent in Japan.
The names of the tutors will be announced in late September for October enrolment, and in March for April enrolment.
Please note that your tutor will assist you soon after your arrival in Tokyo. However, they do not work on weekends.

You are advised to contact your tutor for self-introductions and receive his or her contact details for future communication in Japan. However, any issues concerning your admission status or scholarship matters should be asked directly to your ICT Admissions Desk, not to your tutor.

Please be advised that you will need to visit each office several times for your enrolment procedures. It is impossible to complete your paperwork perfectly in just one visit. Make your own plan to accomplish the enrolment procedures and pay heed to the deadline for each procedure. You should talk with your tutor about your plan and solicit their advice.

The School of Engineering encourages all applicants to realize the importance of maintaining good health while studying at the University of Tokyo.
Every October and April, the University of Tokyo provides you with an opportunity for a physical and medical check-up after enrolment. Please be responsible for your physical health and take advantage of this opportunity. The schedule will be provided at the orientation by the School of Engineering.

You need to apply for National Health Insurance at the municipal office in the city or ward of your residence in order to receive health benefits.

Personal Budget
You are advised to bring a sufficient allowance to start your new life in Tokyo. Japanese yen equivalent to about US $1,500 per month, either in cash or travelers' cheques, should be adequate to cover living expenses. In addition, you have to prepare admission fees at the time of enrolment.
If you are a scholarship recipient, please bring an adequate amount of money to cover short-term living expenses until you receive your scholarship funding.

Application procedures for Non-MEXT candidates
"Certificate of Eligibility (CoE)" is a proof of status, which will allow you to obtain a visa to stay in Japan. CoE is one of required documents to apply for a visa in your home place.
- You will need to present CoE to the immigration officer when you arrive in Japan.
- Immigration to Japan has recently become stricter. Therefore, you must apply for and receive your Student Visa before you come to Japan. Accordingly, please do not leave your country until you have received your CoE (which is the document you need for your visa application), applied for your visa, and received it in your passport.
- The Immigration Office have warned us that if you come to Japan prematurely and try to change your visa status after arriving here in Japan, the Immigration Office might send you back to your home country to apply for your visa. Therefore, please do not plan your trip until you actually have your Student Visa in your passport in your own country.

Degree students need to have approximately JPY150,000 per month in total for living expenses.
- Average Living expenses for international students residing in Japan in the past is JPY136,000 per month. Accordingly, we recommend that EAP students have JPY150, 000 per month for living expenses.

International regulations stipulate that the spelling of your name on your travel documents must be as shown in your passport.

After you receive your itinerary from your airline company, please type the details of your itinerary (date, flight number, and arrival time in Tokyo) onto T-cens in order to share your arrival data easily with your tutor.

Family
The School of Engineering believes that it is only natural for you to live with your spouse and children while in Tokyo. However, before inviting your family, we recommend you think carefully about the current living conditions in Tokyo. During the first couple of months in Tokyo, you will be extremely busy both as a student, and in settling in to life in Japan. In addition, you should consider the extra expense incurred by the presence of dependents. In addition to more expensive living quarters, you will also be obliged to arrange legal documentation such as a Certificate of Eligibility for your family members.
In general, we recommend that you initially come on your own, and then invite your spouse and children after you have become accustomed and settled in to life in Japan.

The current housing situation for international students
The current housing situation for international students is an important factor to consider because Tokyo is noted for its high living costs. For example, rents around the Hongo campus cost on average about ¥80,000 ~ ¥100,000 per month for a room of just 10 ~ 20 square meters.
Renting private accommodation in Japan, especially in the Tokyo area, can also be very time consuming. You will be required to complete a housing contract in person and provide a resident card; notification of a full guarantor (your supervisor cannot be your guarantor); and provide up-front payment of key money and/or a deposit.

Apartments and Other Rental Properties Operated by Private Businesses
Some students may be interested in finding apartments and other privately rented accommodation provided by private businesses. They should contact each real estate company or office directly to apply for accommodation.Each type of accommodation has different benefits, so you would need to choose the accommodation type that best suits the purpose of your stay.
The Graduate School of Engineering strongly recommends that you read the following two sites before you start looking for an apartment or room.

Dormitories operated by UTokyo
Depending on the program or departments you belong to, your selection of applicable dormitories differs.
You should check which dormitories you can apply for at the time of application.
You should also note that room allocation at these dormitories is not guaranteed. The number of vacancies is very limited, and demand is very high.
You will need to decide which room-type is most suitable for you. You cannot apply for both single and couple/family rooms at the same time. For example, application for "a single-room at UTokyo Mitaka and a family room at UTokyo Kashiwa at the same time" is not acceptable.
Those who are successfully allocated to one of the UTokyo dormitories will receive a Notification of Admission to UTokyo Accommodation from the Housing Office by e-mail with the name of the allocated dormitory and the possible move-in dates. There is the possibility that you need to pay your monthly dormitory fee before your actual check-in date due to the regulations laid down by each UTokyo dormitory.
What should I do if my Accommodation Application is UNSUCCESSFUL?
If your ACCOMMODATION APPLICATION was not successful, you need to find an apartment by yourself.

Temporary Stay
There is the possibility that you will need to stay in temporary accommodation, for example a youth hostel, on the first few nights at your own expense. Each housing/dormitory management office will advise you of your move-in schedule, which may or may not correspond with your arrival date. In addition, certain formalities including contracts must be completed before moving into the room. You must always be mindful about whether cancellation charges apply when you make a reservation.

Luggage Preparation
Please refer to the helpful instructions below for advice on what to bring and what not to bring on your journey. Please do not arrange to send your belongings to Japan unless you are able to receive them yourself when they arrive; nobody else can receive your shipment in Japan even at a dormitory or laboratory if you are not present in Japan.
Managing your Luggage: Recommendations

- Any liquids must be put into your checked baggage, not in in-cabin/carry-on baggage. This includes: perfumes, gel/shaving cream, and cosmetics (skin lotion, shampoo, etc.)
- Food (dried, canned, and/or bottled only) must be put into your checked-in baggage, not in carry-on luggage, and should be unopened and properly packed in the manufacturers' original packing.
- For instance: pickles, milk powder, spices, etc. - Dried grains
You may bring a small quantity of food items for the first few days. You will soon find a variety of foodstuffs in the local shops.

You must present your Certificate of Eligibility or MEXT Scholarship Certificate to the immigration officer at the airport. Please be advised that you should enter Japan within three months of the date of issue of the Certificate of Eligibility.

Meeting Your Tutor
As for a meeting place with your tutor, you are basically expected to come to Tokyo area by yourself.

How to Arrange Luggage Delivery Service
- Find a Delivery Service Counter, such as GPA Airport Delivery Service or YAMATO Delivery Company. For example, YAMATO Delivery Company is probably easier for you to identify. Just look out for an image of a black cat, literally KURO NEKO in Japanese. This is the image to look for:
- Sort out and separate whatever you may need for the next few days, and put them into a small, easily manageable bag.
- Write the address of your accommodation; the contact telephone number can be that of ICT Admissions Desk if you wish. You may want to opt to "receive your luggage at night".
- Pay the delivery fee; the price varies depending on the courier service.
- Send your large and heavy luggage (i.e. checked-in baggage) separately.
- Receive your luggage at your destination (you will need to be there at the appointed time).
Your First Few Days in Tokyo [Formalities to Legalise your Residence in Japan]
You will need to complete all these formalities within 2~4 days of arrival in Japan in order to get on with your life in Japan. Your tutor will help you. Be warned though that your first few days in Japan are likely to be extremely busy.
Resident Card
Obtain a Resident Card on the spot at your arrival airport.
Please pay special attention to the spelling of your name on the Resident Card soon after you receive it at the airport. If the information on your Resident Card differs, even if only slightly, from the information in your passport, you will likely be unable to open a bank account or to obtain some necessary official documents in the future.
Visit the municipal office in the city or ward of your residence with your Resident Card.
You are asked to visit the municipal office with your resident card, and notify them of your address within 14 days.

BANKS
Open your new bank accounts with your resident card.
Each scholarship sponsor specifies the bank and branch at which you will need to open an account in October. Please wait for a while.
1) For non-EAP students (CVL, G30, JCK, UBE, and SPN):
You need to open your bank account with certain designated bank offices in order to receive your scholarship.
2) For EAP students:
Most EAP students (Exchange program students) do not have to open a new bank account in Tokyo. If you need any further information in this regard, please contact your designated contact at the ICT.
Student Commuter Certificates
When you buy a student commuter pass (TSUGAKU-TEIKI), you need to have a Student Commuter Certificate. You will receive this from your department office with your student ID card. (Not available to research students) Student Commuter Certificate

Once you have cleared screening by the University of Tokyo Security Export Control, the Admission Notice for Successful Applicants will be issued to you and will be sent to you in a timely manner. As this notice will not be re-issued, please submit a copy when you apply for a passport or time off work, etc. If you are requested to submit the original, please contact your International Coordination Team (ICT) Admissions Desk in advance.
Degree Certificate
At the time of your enrolment, the Graduate School of Engineering must have your most up-to-date documents available.
One of the qualifications to enter this degree program at the Graduate School of Engineering at the University of Tokyo is to have completed a bachelor’s degree (for master’s programs) or a master’s degree (for doctoral programs) in another country before enrolling at The University of Tokyo.
If you did not hold a relevant degree at the time of application to the Graduate School of Engineering, and therefore submitted a certificate of expected graduation as a substitute for your degree certificate, you must update your graduation status by submitting your degree certificate. If you need to demonstrate the completion of your degree course, please allow enough time to prepare your degree certificate and send it to your ICT Admissions Desk. If preferred, you can submit an officially certified copy of your diploma instead of your original degree diploma.
- Upload your most recent degree certificate via the File Upload option under the Admitted tab if you were an on-going student at the time of your application to the Graduate School of Engineering.
- Then your ICT Admissions Desk will submit the uploaded one to the Office of Graduate Division.
- Please bring your original Degree Certificate or Diploma, which you have uploaded on T-cens, and show it directly to the Office of Graduate Division at the time of your enrolment.
If your original documents are not available, the School of Engineering accepts photocopied documents ONLY WHEN they are attested to be accurate facsimiles of the original with original stamps of attestation from a suitable legal entity. Attestations can be provided by the academic institute where you studied or a local notary. Or you can bring your original document and ask the Office of Graduate Division to make a photocopy at the office.

Enrolment Period for the Graduate School of Engineering
The School of Engineering would like to remind you that your enrolment period for the Graduate School of Engineering as a Master's degree or a Doctoral degree student is limited to the one indiated on your Admission Notice for Successful Applicants only. The Graduate School of Engineering does not permit you to change to another enrolment period.
If a sponsor for a prospective scholarship requires you to start your academic life, you must re-apply for a Master's/Doctoral course at the Graduate School of Engineering through the entrance examination. You will then be re-examined by the department faculty members as a regular applicant. Please contact your ICT Admissions Desk immediately for further consultation.
However, if you have already passed the preliminarily selection for a MEXT scholarship through the Japanese Embassy for enrolment in April/October, please contact your ICT Admissions Desk immediately. We will transfer you to your prospective department for further consultation.

As a new UTokyo student, you will need to pay your examination fees, admission fees, and tuition soon after arriving in Tokyo.
If you are a scholarship recipient, please follow the instructions provided from your scholarship institution.
Students awarded MEXT Scholarships are not required to pay the above expenses (tuition, examination, or admission fees), but they must complete the necessary procedures at the University of Tokyo by the deadline.

Scholarship recipients need to understand the terms and conditions of their own scholarship and follow their sponsorʼs instructions to pick up the money. The first monthly scholarship will be paid to you by bank transfer in late October or November if you enrol in September, and at the end of April or May if you enrol in April.

Application for an External Scholarship
Q1. My financial status for admission is self-supporting, and I am now applying for an external scholarship. The scholarship foundation office asks me to submit a recommendation letter from my prospective supervisor at the University of Tokyo. What should I do?
A1. Please send your request to your designated contact on the ICT staff as soon as possible. Include detailed information about the scholarship, such as terms and conditions. Even though all ICT staff members work hard to support your scholarship application, it is impossible to answer emails immediately after you send them, because they are working with many students each with different application conditions. Please allow ample time when you send emails to your designated contact on the ICT staff, and expect to wait at most three days before you receive a reply.
Family
Q1. Why should my family come a few months later?
A1. There are many legal procedures, such as visas, accommodation, finance, etc., that need to be handled in order to welcome your family. Not only will you likely feel overwhelmed by the extra bureaucracy, but also your family members as well as your tutor may feel excessive stress. It is much easier to come by yourself alone to begin with, establish your living environment, and then welcome your family.
The School of Engineering believes that it is very natural for you to live with your spouse and children while in Tokyo. However, before inviting your family, we recommend you think carefully about the current living conditions in Tokyo.
During the first couple of months in Tokyo, you will be extremely busy both as a student, and in settling in to life in Japan. You should consider the extra expense incurred by the presence of dependents. In addition to more expensive living quarters, you will also be obliged to arrange legal documentation such as a Certificate of Eligibility for your family members.
In general, we recommend that you initially come on your own, and then invite your spouse and children after you have become accustomed and settled in to life in Japan.
Q2. Do you help with visa for my family members?
A2.
No, the School of Engineering does not help you with visa applications for

Q1. What is the difference between Japanese Language classes (JLC) offered by the School of Engineering and the various JLCs provided by the other departments, the JLC Komaba Research Campus, or the Center for Japanese Language Education?

No, you do not have to undergo a chest X-ray examination before your enrolment at the University of Tokyo (UTokyo), because every October and April, the University of Tokyo provides you with an opportunity for a physical and medical check-up after enrolment.

Q1. Why does the School of Engineering place such an emphasis on housing allocation?
A1. It is very important that you have somewhere to live immediately after your arrival in Tokyo. Your very first step is to register your residential address at a local municipal office. The resident card is necessary for you to complete other official legal registrations such as university enrolment, opening bank accounts, joining the national health insurance scheme, and so on. All of these should be completed within a short period after your arrival. A temporary residence, for example a hotel, is not usually accepted for alien registration at a local municipal office. You will need to confirm the regulations and conditions for each case by yourself. >
Q2. Can I cancel my room at the UTokyo dormitory if I do not like it?
A2. The system cannot afford such flexibility. If you feel it will be difficult for you to compromise in these circumstances, please do not apply for any rooms you may not feel comfortable enough with. Simply limit your applications to rooms that you can tolerate.
Q3. Can I continue to live in a single-person room at the dormitory after my spouse arrives in Tokyo several months later?
A3. No. You will be obliged to move out of "the single-person room" at your dormitory and move somewhere else where you can live comfortably with your spouse. No room switching is available. Please note that due to limited availability, it is extremely rare for a single-occupancy tenant in a dormitory to be re-allocated a couple- or family-occupancy room in a subsequent dormitory application.
Q4. Can I reapply for another room at one of the dormitories?
A4. It is university policy to give higher priority to “first timers”, so we should advise you that it is unusual that "second timers" are allocated another dormitory room if they reapply on account of the equal opportunity policy concerning the allocation of residency.
Q5. How many opportunities are there to apply for a place in the dormitories?
A5. Twice a year. Applications can be accepted from January to move-in in April, or from July to move-in in October. If you are not allocated a room in a dormitory to move-in in October, you can try again and reapply for the UT dormitories the following January to move-in in April.
Q6. If I cannot get accommodation in the dormitories, who can provide help or support to search for a private apartment?
A6. You will need to ask your supervisor and your tutor to help, however you must understand it is impossible to conclude a contract without your physical presence at the contract signing. Q7. I do not want to live in an unfurnished room. Can I easily find a furnished room?
A7. It is not easy to find furnished accommodation. Many properties in Japan are unfurnished when tenants move in. Tenants then provide their own furniture, which may mean it has to be bought. There may be furnished rooms for international residents, but those rooms cost more compared to unfurnished rooms.
Q8. I would like to live in a friend or relative's house for a certain period (more than two weeks) upon my arrival, and then I will move to an apartment which I will find by myself. What do you think of this plan?
A8. We recommend that you stay at your initial residence for at least a month or longer. You need to remember that you must register or re-register yourselves with your ward/city office, banks, university offices, etc. each time you move accommodation. This can be very time consuming. In addition, please consider the extra burden this may impose on your tutor who may need to help you as a Japanese language translator.
Q9. Which is the easiest season to find accommodation?
A9. There may be more vacancies in spring because March is the end of both the academic and fiscal year in Japan, so many more people move then.
Q10. How can I check the commuting route, and how long will it take between my future accommodation and the laboratory?

Item #9. Should I select only "a2" - "Graduate school of Engineering" alone or should I fill column (c) Administration Bureau also?
- Answer for Item #9; Choose Graduate School of Engineering, and then write the name of your department.
Item #13. What is the difference between couple accommodation and family accommodation? I am married and my spouse will join me after my arrival in Japan.
- On each dormitory’s page, you can find an explanation about the application eligibility for couple’s room and family room. In OSTA please provide the details about your scholarship, XYZ scholarship.
In T-cens the definition of a self-supporting student is a student who does not receive any scholarships or who receives a scholarship from an organization other than the University of Tokyo or MEXT.
Traveling
Q1. Why can't I arrive on Friday afternoon?
A1. The offices of the University of Tokyo including each dormitory's offices close by 18:00. Banks and ward/city offices also close in the early evening. Even if you arrive on Friday evening, there are almost no formalities that you can complete from then. In addition you would likely be alone during the weekend. You may feel much more comfortable to arrive in Tokyo earlier in the week.
Your tutor, a student belonging to the same research laboratory as you, will assist you soon after your arrival in Tokyo. However, they do not work on weekends.
Q2. Why do you recommend us to take out travel insurance?
A2. Your official status as a student of the University of Tokyo will start after your registration at the School of Engineering. Until then, you should protect yourself against any unexpected accidents by making sure you have your own travel insurance.
Q3. Can I arrive in Tokyo earlier than the period notified by the School of Engineering?

Q4. Can I arrive in Tokyo later than the period notified by the School of Engineering?
A4. No. You need to complete UTokyo enrolment procedures during the period notified by the School of Engineering. If you are a scholarship recipient, you must follow the regulations of your scholarship.
Q5. I have already bought my flight ticket and plan to arrive in Tokyo on September 23rd. If I get a UTokyo dormitory, must I change my flight reservation even though I have to pay a cancellation charge?
A5. To be honest, it is very hard for us to advise on this. You will need to make your own decision with due consideration for all the conditions mentioned below.
If you are successfully allocated to one of the UTokyo dormitories, you will receive a Notification of Admission to UTokyo Accommodation from the Housing Office by e-mail around the end of July with the name of your allocated dormitory and your possible move-in dates.
There is the possibility that you need to pay your monthly dormitory fee from the beginning of September due to the regulations laid down by each UTokyo dormitory. It is better for you to calculate your living expenses in Tokyo and your cancellation charge, and then decide whether it is more reasonable for you to change your flight or to arrive as previously scheduled.
Each dormitory will, of course, assist students who arrive later than the scheduled dates.
Please note that the University of Tokyo has already announced that there will be only a very few vacancies for the next round of applications.
Q6. When exactly should I arrive in Tokyo? T-cens does not provide any specific date.
It depend on your program, such as CVL, UBE, SPN, G30, JCK, and EAP, since each program may have a different schedule to welcome students. If you are not sure when to arrive in Tokyo, please contact your ICT Admissions Desk for their suggestion. We also recommend that you once again check the general academic schedule at the Schedule for Admitted Candidates.
Luggage
Q1. Usually I just carry my case with me. Why do you recommend delivery?
A1. You are likely to have to change transportation several times between New Tokyo International Airport (Narita) and your destination, and sometimes escalators/elevators are not available. You may have to carry heavy luggage up and down stairs. You may have to walk from the nearest station to your housing, which is often more than a kilometre away depending on the location. Q2. Are there any important notes if using a delivery service?
A2. The sum of the height, width, and length of the checked luggage should be less than 160 cm.
* The weight of each item of baggage should be less than 25 kg.
* Any excess in terms of weight or size will be subject to additional fees.
* For security reasons, you may be requested to open your baggage before it is accepted for delivery.
How to work with T-cens
Q1. There are several files under the name of file1.docx, file8.exls, and file15.pdf and so on. I do not know what should I do with these files, because I have no files to upload there.
A1. Please upload files such as your scholarship certificate (for those who will be awarded scholarships from organizations other than the University of Tokyo) there. If your scholarship certificate extension is pdf, please upload your file between file11.pdf and file15 pdf, and inform your ICT Admissions Desk about these files by a email.
Academic Information
The class catalogue is updated each March for the next academic year, which starts in April every year.
