T-cens application consists of two parts; Online application and Postal submission.

Important Notes for Submission

  1. All documents are to be typed or legibly hand-written in block letters (i.e.non-cursive script).
  2. The School of Engineering will not accept any overdue applications either through the online system or via postal submission.
  3. Documents sent in connection with the application procedures will not be returned under any circumstances.
  4. Others
    • All PDF, Word and Excel files to be uploaded to T-cens should be under 2 MB,
    • A4 paper is preferable for postal submissions,
    • We would appreciate if you only use paperclips instead of stapling or pinning your application documents, and
    • Please do not put documents in a file, nor use staples (for the convenience of the ICT Admissions Desk staffs members).
    • PDF documents will not be accepted if the picture quality is unreadable. Image files(JPEG, PNG, BMP, or GIF)should be scanned by a scanner. Adobe Scan might be helpful to convert files into PDF. Adobe Scanner

Application Documents

You need to prepare two types of application documents:
a) General documents, and
b) Requirements from the department you are applying for.


a) General Documents


1.AF1 Application Form for the International Graduate Program:

Prescribed application form which will be automatically filled in as you complete the web format page between Form 1 and Form 7 under the APPLY page.


On the SUBMIT page, you will find AF1 for review. On the POST page, click AF1 for submission and generate the APPLICATION FORM 1 (AF1). Print out the APPLICATION FORM 1 (AF1) and send it with the other application documents.

2. AF2 Statement of Study Plans:

Please use the specified sheet you can download from T-cens.
Describe an outline of your research proposal, including your motivation for selecting this particular department/course. This statement needs to be written in English in no more than 1,000 words.

For G30 course applicants (G30IBP, G30UDA, and G30TMI), please fill in "Statement of Purpose IBP/UDA/TMI" instead of "AF2 Statement of Study Plans".

3. AF3 Title of Your Graduation Thesis and Its Abstract:

Please use the specified sheet you can download from the T-cens system.

Please describe your most recent graduation thesis.
- If you are applying for a Master’s degree program, please provide a brief statement about your graduation thesis for your Bachelor’s degree.
- If you are applying for a Doctoral degree program, please provide a brief statement about your Master’s degree.
- If you are applying for a Doctoral degree program and have not yet started writing the Master’s degree graduation thesis, please provide a summary of your Bachelor’s degree graduation thesis instead.
- If you have not written any graduation thesis, please provide the title(s) of essays/projects related to your research field.

4. AF4 T-cens Enquiries on Educational and Occupational Background (AFEB):

Go to the Curriculum Vitae page and work on it.
Prepare your AF4_AFEB.pdf and upload it on T-cens.

5. AF5 List of Recognitions, Memberships, and Titles of Conference Papers for T-cens:

AF5 consists of three (3) sheets. Please use the specified sheets you can download from the T-cens system.

AF5-1 List of scholarships, prizes, honours, awards and other recognitions, if any.
AF5-2 List of memberships in honourable societies and professional organizations
AF5-3 List of titles and details of conference papers

6. AF6 Histroy of your visits to Japan

History of your academic experience other than your home uiveristy, and all records of your past visit to Japan

7. Recommendation Letters:

The School of Engineering requires two letters of recommendation and at least one of these recommendations should be completed by a university faculty member who has taught you or knows your work.
Please refer to the Recommendations page for detailed instructions about how to prepare these recommendations.

8. Academic Transcript (Undergraduate/Graduate level,if applicable) and Grade Scales:

Full academic transcript

Present a full academic transcript of all universities and colleges attended from your freshman year to the present showing the grades given to the applicant per department (including for general education).

Transferring students must also submit their transcripts from their previous colleges, etc.
A degree certificate or a graduation certificate simply showing the ranking of the applicant at graduation will not substitute for academic transcripts.

Grade Scales

Indicate your grade and the grading system, which are usually shown in the academic transcript issued by the university you attended. 
The academic grading system may differ between universities; as letters (generally A through F), as a numeric range (for example 1 to 5), as a percentage of a total number of students, as a number out of a possible total (for example out of 100), and so on.   We accept various grading system evaluations, but please present a Cumulative Grade Average (CGPA) or GPA if shown in your academic transcript, as this is most preferable.

If your transcript does not show such information, you can submit a screen-print of the university website, and an explanatory letter issued by your university authorities about your grade and/or the university’s grading system.

9. Certificate of Graduation and Certificate of Degree (Bachelor's degree / Graduate level, if applicable):

T-cens defines a certificate as a paper-based academic document which all applicants should be able to request from their alma mater or currently attended university whenever he/she needs to submit such certification to the University of Tokyo.             

One of the qualifications to enter this degree program at the University of Tokyo’s Graduate School of Engineering is to have completed a bachelor’s degree (for master’s programs) or a master’s degree (for doctoral programs) before enrolling at The University of Tokyo.
Students who have completed programs at foreign universities must indicate the degree acquired. If your Certificate of Graduation does not include official evidence of the awarding of a degree, you must also submit additional documents that verify the conferral of such a degree.
In addition to completing a degree program, you are also required to demonstrate that you have basically completed a minimum of sixteen years (for master’s candidates) and eighteen years (for doctoral candidates) in the educational system of a country other than Japan.

10. Diploma:

Diplomas are not ordinarily accepted by the Graduate School of Engineering; however if you cannot submit either a Certificate of Graduation and/or a Certificate of Degree, instead we will accept a certified copy of your diploma. In addition, if your home institute only issues a Certificate of Graduation and/or Certificate of Degree once, the Graduate School of Engineering considers them equivalent to a diploma, and accepts a certified copy of your Certificate of Graduation and/or Certificate of Degree. Please carefully read about Certified Copies and follow the instructions given.

11. Letter or Certificate of Expected Graduation (if applicable):

If you are an on-going student and do not hold a relevant degree at the time of application to the Graduate School of Engineering, you can submit one of the following documents as a substitute for your degree certificate.

    All these documents must be the original and are issued by your university/institute.
  • Certificate of Expected Graduation
  • Certificate of Enrolment
  • Provisional Degree Certificate
In this case, please remind that;
1) you must provide the date that your bachelor's/ master's degree is expected to be conferred (month/year) at Form2 under the Applying tab, and
2) your certificate of graduation, degree certificate, and complete academic transcripts must be submitted during the enrolment process to the University of Tokyo.

    Originals required
    Academic transcripts, Certificates of Graduation, and Certificates of Degree must be original, as issued by your university, and include the school’s stamp or embossed seal and the signature of the authorizing official, such as the dean of your home university.

    Certified Copies
    If the original Certificate of Graduation and/or Certificate of Degree are not available or are only issued once officially, the Graduate School of Engineering accepts certified photocopies of diplomas when the following are satisfied.

      1. The photocopied diploma should include genuine stamps of attestation from your university that it is an accurate facsimile of the original document.
      2. Submit an explanatory letter detailing the reason for submitting a photocopied diploma. Use the specified format downloadable from T-cens.

    Language
    If your home institution issues academic records, such as transcripts, Certificates of Graduation and/or Certificates of Degrees in English, you can submit them in English.

    If your home institution does not issue academic records, such as transcripts, Certificates of Graduation and/or Certificates of Degrees in English, you need to submit the ones issued in the original language accompanied by an English translation except for documents written in Japanese.

    If your home institution does not issue academic records, such as transcripts, Certificates of Graduation and/or Certificates of Degrees in English, you need to submit translations which satisfy the following conditions.                                                                         

      1. English translations are required for all languages, unless the institution issues original documents in English.
      2. You may submit translations prepared by certified translators for a suitable legal entity such as your university, Ministry of Education, or a local notary.
      3. Translations must be literal and complete versions of the original records, and should include genuine stamps of attestation from the above-mentioned appropriate legal entity.
      4. Submit an explanatory letter about the English translation. Use the specified format downloadable from T-cens.  

    Important notes:

    • The Graduate School of Engineering at the University of Tokyo may contact your universities and the certified translator who translated your documents into English to verify the nature or authenticity of your academic documents.
    •                     
    • Documents sent in connection with the application procedures will not be returned under any circumstances.

12. Personal Identification:

A photocopy of your valid passport (most preferable), census register, or other proof of citizenship. Identification card with your photo is preferable. Please do not send the original.

13. Photo:

Head-and-Shoulders Photo needs to be uploaded on T-cens.
    • Your photo should have been taken within the 6 months prior to the application.
    • The file size must be no more than 500 kB.
    • Frame the subject showing their full face, frontal view, with eyes open.
    • Photograph the subject against a plain white or off-white background (preferably).
    • Use the '.jpg' file extension.

Submission Checklist

  1. Download the checklist of your chosen course from the FileUpload page of your T-cens account and the Course Summary. Confirm which doucments are required to submit (either or both online and post).
  2. Read Important Notes for Submission, and How to Read the Submission Checklist before you prepare your documents.
  3. Submit this submission checklist together with the all required application documents.

How to Read the Submission Checklist

1) Required materials

Essential materials for application.
(  ) Please submit these materials "if applicable to you".

You do not need to upload or send any other documents that are not required to support your application.

2) How to Submit the Required Documents

There are four document categories based on how they are to be submitted.
(A) Online application + print out + submission by post Please first fill in the "Online Application", print out the form, sign it, and post this original with your signature. This PDF file is known as the Application Form for International Graduate Program (AF1) hereafter.
(B) Download + upload + print out + submission by post Download the specified form from T-cens, fill it out, upload the form back to T-cens, and also return a copy by post.
(C) PDF + upload + submission by post Convert the materials into a PDF file, upload the PDF file to T-cens, and also return a copy by post.
(D) Materials to be submitted by post Ensure posted materials will arrive by the due date.
